Weekend Leader Checklist
LOCATION & BOOKING:
Check with the Weekends Coordinator that the dates are free and that your destination is not already covered in the same period. Make sure that the accommodation is available on the weekend you want and make a booking if possible. Check when the deposit and balance need to be paid.
Give the Weekends Coordinator as much info as possible including costs, accommodation type and basic facilities, dates, levels of walks on offer, details about the area and contact details. You should be aware of the correct classification of your walks prior to submission.
All persons must be a member and membership numbers must be obtained from them. If you are offering a weekend of hard walks, then you must ensure YOU are confident of the ability of all persons booking. If a new member registers interest, YOU must stress the importance of being able to do hard walks. All members (especially those on weekends) should carry details of contact numbers for next of kin and any pre-existing medical conditions they may have, in case of emergency, and you need to advise people of this. If your weekend fills up, keep a reserve list, with any reserves allocated in strict booking order.
BEFORE THE EVENT:
Make sure the accommodation is paid for up front if required. Make sure everyone has made lift arrangements, paying special attention to new members (make sure they are not travelling alone, unless they prefer to). Send out details AT LEAST a week in advance with directions, what to bring and any special plans.
ON THE EVENT:
It is a good idea to have a welcome meet on the Friday night to say what walks are on offer, what time people need to be ready, and what they are to bring if there are any special requirements. Attendance on a weekend DOES NOT mean that members have to take part in everything you may have planned! Ensure new members are made welcome and introduce them to the rest of the group.
AFTER THE EVENT:
Thank all leaders. Ensure any money for group funds is given to the Treasurer asap.
